This policy explains what personal data Duong Lam Ancient Village (Duong Lam, Son Tay, Hanoi, Vietnam) collects through duonglamancientvillage.com and WhatsApp, why, and what your rights are. We are the controller of this data.
1. What we collect
When you book: your name, email address, WhatsApp number, tour date, pickup hotel, number of guests and anything you tell us in the notes (for example dietary needs or mobility limits). When you pay by card, the payment is processed by the payment provider; we never see or store your full card number. When you message us, we keep the conversation.
2. Why we use it
To run your tour: confirm the booking, arrange the car, guide and host family, send your pickup time, and contact you on the day. To handle payments, refunds and our accounting obligations. We do not sell your data and do not use it for advertising.
3. Who we share it with
Only what each party needs: your guide and driver receive your name, number of guests, pickup hotel, tour date, WhatsApp number and any special needs; if you chose to pay the balance in cash, your guide is told the amount still due. The host family for a lunch is told the number of guests and any dietary needs, not your contact details. Card payments, whether in full or for a 30% deposit, are handled by the payment provider under its own privacy terms. Our website hosting provider and email provider process data on our behalf.
4. How long we keep it
Booking and payment records: 10 years, as Vietnamese accounting law requires. WhatsApp and email conversations: 24 months after your tour, then deleted. Notes about dietary or medical needs: deleted 30 days after your tour.

6. Your rights
You can ask to see, correct or delete your data, or object to how we use it, by writing to [email protected]. We reply within 30 days. If you are in the EU or UK you may also complain to your local data protection authority.
